About the Role This is a critical operational support role within the recruitment team. Reporting directly to the Operations Lead, you will provide end-to-end VA recruitment support across sourcing, candidate research, market mapping, documentation, and CRM administration. This is not a pure recruiter or sourcing-only role. We are looking for someone with a VA mindset — strong recruitment operations experience, solid general admin capability, and the communication and initiative to thrive in a fast-paced, entrepreneurial environment.

Key Responsibilities • Source and research candidates across SaaS, Marketing, and IT sectors for US market roles • Build and maintain talent pipelines through market mapping • Maintain and update Recruit CRM with accurate candidate, role, and pipeline information • Prepare and format candidate shortlists and summaries for the recruitment team • Attend client intake calls as a note-taker — supporting the team, not leading calls • Handle documentation, process notes, and general recruitment administration • Liaise professionally with internal team members across US and international time zones • Support ad hoc tasks as directed by the Operations Lead

What You'll Bring Experience & Background • Minimum 3–4 years of total experience, with at least 2 years in end-to-end recruiting or in a recruitment support capacity — in a VA context • Industry background in SaaS, Marketing, or IT — healthcare and other unrelated experience is not a fit for this role • Recent US market experience — you understand the nuances of recruiting for US-based

clients

• A genuine mix of VA, general admin, and recruiting skills — not purely a sourcer or recruiter Communication & Personality • Strong English — clear and confident in written and verbal communication • Outspoken and direct — you proactively flag capacity issues and push back professionally when needed • Flexible and adaptable — comfortable with shifting priorities and ad hoc tasks • Polished, professional LinkedIn profile (reviewed as part of the selection process)

Nice to Have

• Experience with Recruit CRM

• Bookkeeping or accounts reconciliation experience • Familiarity with AI and automation tools — Claude Cowork or similar integration platforms

What Success Looks Like • Consistent, high-quality sourcing output with minimal rework • Proactive communication — status updates without prompting, blockers flagged early • CRM and documentation kept current and accurate at all times • Tasks completed within agreed timelines; clear escalation when timelines are at risk • Smooth integration with the Operations Lead's workflow and the broader team
