Role Overview

As a Data Entry Specialist at brighthush, you will be the backbone of our data integrity initiatives. Your primary responsibility is to transform raw information—whether it’s paper documents, audio recordings, or digital files—into clean, structured data that powers our analytics, reporting, and client solutions. You’ll work closely with cross‑functional teams, including Product, Engineering, and Customer Success, to ensure that every piece of data is accurate, up‑to‑date, and compliant with industry standards.

Key Responsibilities

  • Document Preparation: Gather, collate, and organize documents, materials, and information for data entry, ensuring that all sources are complete and properly labeled.
  • Research & Verification: Conduct thorough research to fill gaps in incomplete documents, cross‑check facts, and verify data accuracy against trusted sources.
  • Digital Conversion: Convert paper or dictation into digital documents using OCR tools, transcription software, and manual entry techniques.
  • Quality Assurance: Review all documents and information for accuracy, flag inconsistencies, and communicate findings to supervisors or stakeholders.
  • Data Capture & Backup: Enter data into our secure digital databases, perform regular backups, and maintain version control to prevent data loss.
  • Database Management: Update and maintain databases, archives, and filing systems, ensuring that data is organized, searchable, and compliant with data governance policies.
  • Reporting & Export: Generate and export data reports, spreadsheets, and documents for internal use, client deliverables, and regulatory compliance.
  • Process Improvement: Identify bottlenecks in data workflows, propose automation or process enhancements, and collaborate with IT to implement solutions.
  • Compliance & Security: Adhere to data privacy regulations (GDPR, CCPA, HIPAA where applicable) and maintain strict confidentiality of sensitive information.
  • Team Collaboration: Participate in daily stand‑ups, weekly syncs, and ad‑hoc projects, sharing insights and best practices with teammates.

Essential Qualifications

  • High school diploma or equivalent; associate’s degree or higher in Business, Information Technology, or a related field preferred.
  • Minimum of 2 years of experience in data entry, administrative support, or a related role.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
  • Experience with data management tools such as Salesforce, HubSpot, or custom CRM platforms.
  • Strong attention to detail and a commitment to data accuracy.
  • Excellent written and verbal communication skills.
  • Ability to work independently in a remote environment, managing time effectively and meeting deadlines.
  • Basic understanding of data privacy laws and best practices for handling sensitive information.
  • Fast typist (minimum 45 WPM) with a clean record of error‑free work.

Preferred Qualifications

  • Experience with OCR software (e.g., Adobe Acrobat, ABBYY FineReader) and transcription tools.
  • Familiarity with data visualization tools such as Tableau, Power BI, or Looker.
  • Knowledge of SQL or basic database querying.
  • Previous experience in a regulated industry (finance, healthcare, legal).
  • Certifications in data management or quality assurance (e.g., CQA, QSA).
  • Fluency in a second language (Spanish, French, Mandarin) is a plus.

Skills & Competencies

  • Analytical Thinking: Ability to interpret complex data sets and identify patterns or anomalies.
  • Problem Solving: Quick to troubleshoot issues and propose practical solutions.
  • Organizational Skills: Master at managing multiple data streams and maintaining orderly records.
  • Adaptability: Comfortable with evolving tools, processes, and priorities.
  • Collaboration: Works well with cross‑functional teams and shares knowledge openly.
  • Integrity: Upholds confidentiality and ethical standards in handling sensitive data.
