About the Role

We are looking for a detail-oriented and proactive Patient Service Representative to support a healthcare practice with patient communication, appointment coordination, and administrative tasks. The ideal candidate is comfortable speaking with patients over the phone, communicates clearly and professionally, and takes initiative in following up on tasks and resolving concerns. Experience with Athena health (Athena) is an advantage but is not required. We welcome candidates who have strong communication skills, a willingness to learn, and a commitment to providing excellent patient service.

Key Responsibilities

Handle incoming and outgoing patient calls in a professional, courteous, and empathetic manner. Schedule, confirm, reschedule, and cancel patient appointments as needed. Respond to patient inquiries regarding appointments, office procedures, and general administrative concerns. Maintain accurate and up-to-date patient information and electronic health records. Follow up proactively with patients, providers, and internal team members to ensure timely communication and task completion. Verify patient information and ensure all records are documented accurately. Assist with patient registration, intake forms, and other administrative processes. Monitor pending requests and follow through on outstanding tasks without constant supervision. Escalate patient concerns or urgent matters to the appropriate team members. Maintain patient confidentiality and comply with HIPAA requirements. Qualifications and Requirements Excellent verbal and written English communication skills. Comfortable and confident handling phone calls throughout the workday. Highly attentive to detail, especially when handling patient information and documentation. Proactive in communication, follow-ups, and task management. Strong organizational skills and the ability to manage multiple tasks efficiently. Professional, patient, and empathetic when interacting with patients. Able to work independently, follow instructions, and meet deadlines. Reliable internet connection and a suitable remote-work setup. Willingness to learn healthcare systems, processes, and software.

Preferred Qualifications

Previous experience as a Patient Service Representative, Medical Receptionist, Healthcare Virtual Assistant, or similar role. Familiarity with Athenahealth (Athena) or other electronic health record (EHR) systems. Knowledge of medical appointment scheduling, patient registration, and healthcare administrative workflows. Basic understanding of HIPAA and patient confidentiality. Note: Athenahealth experience is a plus, not a requirement. Candidates with strong phone skills, attention to detail, and proactive communication are encouraged to apply.
