Role Description This is a full-time, remote contractor role supporting the CEO directly on both business and personal matters. The person in this role will manage the CEO's inbox and calendar, book and adjust travel (domestic and international), coordinate vendors, deliveries and freight, track open projects and follow-ups, prepare purchase and payment notes for the bookkeeper, support hiring pipelines, and handle family and household logistics with complete discretion. Day-to-day work moves fast and covers many small, high-priority tasks. You will work alongside the CEO's AI assistants and the internal team using Google Workspace, Slack and HubSpot. Hours overlap US Central Time, including early mornings (starting around 5 to 6 AM Central) and some Saturdays. Top performers in this role own outcomes, anticipate needs before they are asked, and keep the CEO's day running without reminders.

Qualifications

Proven experience as an executive, personal or virtual assistant, ideally supporting a US-based founder or executive remotely. Excellent written and spoken English, including the ability to write emails and messages in the CEO's voice. Exceptional discretion with confidential family, financial and personnel matters. Strong organization and follow-through: you track every open item and close the loop without being chased. Comfort with technology and AI tools, including Google Workspace (Gmail, Calendar, Drive), Slack, HubSpot or another CRM, and AI assistants. Experience booking travel and solving problems in real time, such as cancelled flights, reschedules and last-minute changes. Reliable high-speed internet, backup power or connectivity, and a quiet home workspace. Availability for early-morning US Central Time hours and some Saturdays. Adaptability, sound judgment, and the ability to work independently with minimal supervision. Spanish or Portuguese is a plus.
