Note: The job is a remote job and is open to candidates in USA. Viv Higher Education is hiring an Account Assistant to support its Account Management team serving colleges and universities. The role coordinates client communication and project workflows, monitors advertising budgets, reviews deliverables, and helps ensure responsive, high-quality client service.

Responsibilities

• Prepare clear, organized agendas for client and internal meetings
• Schedule and coordinate meetings across teams and stakeholders
• Draft timely meeting recaps, follow-up communications, and actionable next steps
• Help maintain responsive, professional, and proactive client communication
• Anticipate client needs and support account managers in delivering an excellent client experience
• Track project timelines, deliverables, deadlines, and responsible team members
• Follow up on outstanding tasks and help keep projects on schedule
• Coordinate with creative, content, media, and account management teams
• Maintain accurate project documentation and organized records
• Identify potential delays or issues and proactively communicate them to the appropriate team members
• Monitor digital media spending against approved campaign budgets
• Track budget pacing and flag potential overspending or underspending
• Review client-facing deliverables for accuracy, consistency, and completeness
• Proofread materials and verify alignment with client expectations before delivery
• Support continuous improvements in account management workflows

Skills

• A bachelor's degree is preferred but not required
• Experience in account coordination, client services, project coordination, or a similar role
• Excellent written and verbal communication skills
• Exceptional organizational skills and attention to detail
• Ability to manage multiple priorities, deadlines, and stakeholders
• A proactive, solutions-oriented approach to problem-solving
• Confidence communicating with clients and collaborating across teams
• Strong proofreading skills and a commitment to high-quality work
• Comfort working independently and collaboratively in a remote environment
• A genuine interest in higher education and helping colleges and universities achieve their goals
• A bachelor's degree is preferred
• Ideally within an agency environment
• Previous experience working in higher education, enrollment marketing, or education-focused marketing
• Familiarity with digital advertising platforms such as Google Ads or Meta Ads Manager
• Experience tracking marketing campaign budgets or media spend
• Familiarity with Google Workspace, Microsoft 365, Zoom, or project management tools such as Asana, Monday.com, or Trello
• Experience supporting multiple client accounts in a marketing or advertising agency
