Position Overview

We are seeking a highly motivated Customer Order Specialist to lead our Central Service Center team. In this pivotal role, you will drive standardization, efficiency, and accuracy across the entire order lifecycle. As a key member of the Customer Order Team, you will manage high‑volume order entry, troubleshoot and resolve customer inquiries, and collaborate with cross‑functional partners to ensure timely, cost‑effective delivery of services—all while maintaining the highest standards of compliance and customer satisfaction.

Key Responsibilities

  • Process and validate standard orders received via telephone, fax, EDI, and e‑mail, ensuring accurate invoicing and timely shipment.
  • Utilize SAP and other enterprise systems (Oracle, AS400, A+) to capture, track, and reconcile order data.
  • Investigate and resolve order accuracy, product availability, and timeliness issues by coordinating with Distribution, Credit, Accounts Receivable, and Sales & Operations Planning teams.
  • Handle EDI order processing, identify and correct inbound and outbound errors, and maintain audit trails.
  • Communicate proactively with distribution facilities to guarantee on‑time shipment and uphold service level agreements.
  • Document and maintain comprehensive records for assigned customers, business units, and locations.
  • Support SOX audit controls by conducting weekly self‑ and partner‑order audits (RE025).
  • Contribute to continuous process improvement initiatives, identifying cost‑saving opportunities and enhancing customer experience.
  • Collaborate with internal stakeholders to resolve disputes, complaints, and escalations in a professional, customer‑centric manner.
  • Track and report on operational metrics, ensuring alignment with defined goals and timely completion of tasks.

Essential Qualifications

  • Minimum of 3 years’ experience in multi‑product customer service or sales, preferably within a consumer goods environment.
  • Proven track record managing high‑volume transactions and a large customer base.
  • Hands‑on experience with SAP, Oracle, AS400, or similar enterprise resource planning (ERP) systems.
  • Strong familiarity with EDI (Electronic Data Interchange) processes and troubleshooting.
  • Advanced proficiency in Microsoft Office Suite, especially Outlook and Excel.
  • Exceptional written, verbal, and interpersonal communication skills.
  • Demonstrated ability to multitask, prioritize, and meet firm deadlines in a results‑oriented environment.
  • High attention to detail, analytical mindset, and a goal‑driven attitude.
  • Polite, positive phone demeanor and a genuine passion for customer service.
  • Experience working independently and as part of a collaborative team.

Preferred Qualifications

  • Background in consumer products or pet and garden industries.
  • Experience with SOX compliance and audit processes.
  • Knowledge of logistics, distribution, and supply chain operations.
  • Previous exposure to remote work environments and virtual collaboration tools.
  • Certifications in SAP, Oracle, or EDI management.

Skills & Competencies

  • Customer‑first mindset with a knack for turning challenges into opportunities.
  • Strong analytical and problem‑solving abilities.
  • Excellent organizational skills and meticulous attention to detail.
  • Adaptability to evolving processes, technologies, and business priorities.
  • Team player who thrives in a fast‑paced, cross‑functional setting.
  • Proactive communicator with the ability to influence stakeholders at all levels.
