About brighthush and the Opportunity

At brighthush, we are redefining the way healthcare services are delivered by combining cutting‑edge technology with compassionate, patient‑centered care. Our mission is to streamline the entire patient journey—from the first phone call to the final follow‑up—so that clinicians can focus on what they do best: healing. As a rapidly growing organization, we are committed to fostering an inclusive, collaborative culture where every team member’s voice is heard and every contribution is valued.

We are currently seeking a highly organized, detail‑oriented Healthcare Dispatch & Patient Coordination Specialist to join our dynamic operations team. In this role, you will be the linchpin that keeps our patient intake, appointment scheduling, and technician dispatching running smoothly. You will work closely with clinicians, technicians, and patients to ensure that every interaction is timely, accurate, and professional.

Key Responsibilities

As a core member of our operations squad, you will manage a wide array of tasks that keep the patient experience seamless and our technicians on the right path. Your day will involve:

  • Patient Intake & Registration: Answer inbound calls, guide patients through registration, and capture essential data with precision.
  • Appointment Coordination: Schedule, confirm, and update patient appointments across multiple platforms, ensuring consistency and accuracy.
  • Technician Dispatch & Route Management: Allocate technicians based on availability, location, and service requirements; adjust routes in real time to accommodate changes.
  • System Administration: Maintain patient records, technician logs, and scheduling data across integrated systems, performing regular audits to eliminate errors.
  • Communication Hub: Serve as the primary point of contact between patients, technicians, and internal teams, relaying updates, changes, and critical information.
  • Process Improvement: Identify bottlenecks, propose workflow enhancements, and support the transition to new routing and scheduling platforms.
  • Compliance & Quality Assurance: Follow established protocols for handling clinical information, escalating issues that require clinical input, and ensuring all activities meet regulatory standards.

Essential Qualifications

  • Minimum of 2 years’ experience in healthcare administration, patient coordination, or call‑center operations.
  • Proven ability to manage multiple appointments, technicians, and competing priorities simultaneously.
  • Strong telephone etiquette and customer‑service orientation.
  • Exceptional data‑entry accuracy and meticulous attention to detail.
  • Proficiency with at least one electronic health record (EHR) system and routing software.
  • Adaptability to shifting schedules, routes, and patient needs.
  • Self‑motivated, reliable follow‑through, and the capacity to work independently.
  • Willingness to work flexible shifts, including evenings, nights, and weekends.

Preferred Qualifications

  • Experience with eClinicalWorks (ECW) or similar EHR platforms.
  • Familiarity with proprietary intake and dispatch systems.
  • Hands‑on knowledge of routing tools such as Onfleet or equivalent.
  • Background in a fast‑paced, high‑volume healthcare environment.
  • Multilingual skills, especially in languages commonly spoken by our patient population.
  • Certification in healthcare administration or related fields.

Skills & Competencies for Success

  • Communication: Clear, empathetic, and professional interactions with patients and colleagues.
  • Accuracy: Rapid, precise data capture and meticulous record‑keeping.
  • Multitasking: Seamlessly juggle calls, scheduling, dispatch, and administrative duties.
  • Routing Judgment: Confidence in making real‑time scheduling adjustments and responding to operational changes.
  • Adaptability: Quick learning of new technologies and processes.
  • Problem‑Solving: Identify conflicts, resolve routine issues, and know when to elevate concerns.
  • Reliability: Consistent follow‑through and accountability for outstanding tasks.
  • Cultural Sensitivity: Respectful communication with patients from diverse backgrounds, including those with limited English proficiency.

At brighthush, we believe that professional development is a shared journey. As a Healthcare Dispatch & Patient Coordination Specialist, you will:

  • Access ongoing training in healthcare compliance, data security, and customer service excellence.
  • Progress into senior coordination roles, operations management, or technology implementation leadership.
  • Earn certifications in healthcare administration, project management, or data analytics through our partnership with accredited institutions.
