If you thrive in a fast‑paced, collaborative environment and are passionate about making a tangible difference in patient care, the Global Travel & Customer Service Coordinator role in Hungary may be your next career milestone.

About brighthush

At brighthush, we believe that the heart of clinical research lies in the people who make it happen. Our global network of investigators, sponsors, and support staff works together to deliver high‑quality data while safeguarding patient welfare. Our mission is simple: accelerate medical breakthroughs by ensuring that every patient, every trial, and every team member receives the support they need to succeed.

Role Overview

The Global Travel & Customer Service Coordinator is a pivotal contract position that supports our Global Study Managers in orchestrating the logistics of active clinical trial studies. Based in Hungary, you will serve as the primary liaison for patient communications, travel arrangements, and day‑to‑day operational details. This role is part‑time, up to 25 hours per week, and offers the flexibility to work from a home office while making a tangible impact on patient experience and study success.

Key Responsibilities

  • Travel & Budget Management: Oversee the travel and transportation budget for trial participants, ensuring cost‑effective solutions without compromising quality.
  • Vendor & Team Collaboration: Engage with travel vendors, accommodation partners, and internal stakeholders to align on participant requirements and service standards.
  • Clinical Site Support: Coordinate with hospital or clinical staff to facilitate participant enrollment, visit scheduling, and on‑site logistics.
  • Patient Communication Hub: Act as the main point of contact for all patient inquiries, providing timely, accurate, and empathetic responses regarding flights, hotels, ground transportation, and travel documentation.
  • Data Integrity & Reporting: Maintain meticulous records in our database systems, ensuring data accuracy and compliance with regulatory standards. Generate periodic reports for study managers and sponsors.
  • Process Optimization: Identify bottlenecks and propose process improvements that enhance efficiency, reduce turnaround times, and contribute to project profitability.
  • Cross‑Functional Coordination: Work closely with the Global Study Manager to translate client and patient needs into actionable plans, ensuring alignment across all departments.
  • Compliance & Quality Assurance: Adhere to all internal SOPs, GCP guidelines, and local regulatory requirements related to patient travel and data handling.
  • Continuous Learning: Stay updated on industry trends, new travel technologies, and best practices in patient support to bring fresh ideas to the team.

Essential Qualifications

  • Bachelor’s Degree in Business Administration, Hospitality, Travel Management, or a related field, or equivalent professional experience.
  • Fluency in Hungarian, English, and French (written and spoken) is mandatory.
  • Proven experience (minimum 2 years) in the travel industry, pharmaceutical sector, or clinical trial support.
  • Strong command of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Demonstrated ability to learn new systems and procedures quickly and efficiently.
  • Exceptional organizational skills with a keen eye for detail and the ability to prioritize multiple tasks simultaneously.
  • Excellent cross‑departmental communication skills, capable of building rapport with diverse stakeholders.
  • Decisive, confident, and proactive in decision‑making and problem resolution.

Preferred Qualifications

  • Experience with electronic data capture (EDC) systems or clinical trial management platforms.
  • Knowledge of GCP (Good Clinical Practice) and regulatory requirements related to patient travel.
  • Previous contract or part‑time roles within a global research environment.
  • Proficiency in additional languages (German, Spanish, or Italian).
  • Certification in travel coordination or hospitality management.

Skills & Competencies

  • Strategic thinking and problem‑solving abilities.
  • High emotional intelligence and patient‑centric mindset.
  • Adaptability to changing schedules and unexpected challenges.
  • Strong analytical skills for budget tracking and reporting.
  • Tech‑savvy: comfortable with cloud‑based tools, data entry, and virtual collaboration platforms.
