Key Responsibilities

As a Remote Accounts Payable & Data Entry Specialist, you will be the backbone of our financial operations, ensuring that every invoice, purchase order, and payment is processed accurately and on time. Your day‑to‑day tasks will include:

• Vendor & Subcontractor Invoice Processing: Review, verify, and enter all vendor and subcontractor invoices into our accounting system, ensuring compliance with company policies and contractual terms.
• Purchase Order Matching: Upload purchase orders, perform EPO/VPO matching, and reconcile discrepancies to maintain accurate financial records.
• Backcharge Management: Process and manage backcharges for subcontractors, vendors, and builders, ensuring that all adjustments are documented and approved.
• Builder Billing & Collections: Prepare and manage builder billing requests, follow up on overdue invoices, and handle disputes related to builder invoices, EPOs, and VPOs.
• Payment Processing: Process builder payments, ensuring that all payments are made accurately and within agreed timelines.
• Data Accuracy & Reporting: Maintain a high level of accuracy in all financial records, generate regular reports, and provide insights to the finance team.
• Continuous Improvement: Identify process inefficiencies, propose solutions, and collaborate with cross‑functional teams to streamline workflows.
• Compliance & Audit Support: Ensure all financial documentation meets internal controls and external audit requirements, and assist in audit preparations when needed.
• Vendor Relationship Management: Serve as the primary point of contact for vendors regarding invoice status, payment queries, and dispute resolution.
• Technology Utilization: Leverage advanced Excel functions, QuickBooks, and other software to automate repetitive tasks and improve data integrity.

Essential Qualifications

• Bachelor’s Degree: Accounting, Finance, or a related field. Post‑secondary certificates in accounting are also welcome.
• Experience: Minimum of 3 years in accounts payable, billing, or invoice processing. Experience in construction or contractor accounting is highly desirable.
• Technical Proficiency: Expert in QuickBooks, advanced Excel skills (pivot tables, VLOOKUP, macros), and strong command of Microsoft Office (Word, Outlook).
• Communication: Excellent verbal and written English skills, with the ability to communicate clearly with vendors, subcontractors, and internal stakeholders.
• Time Management: Ability to juggle multiple tasks, prioritize effectively, and meet strict deadlines without compromising accuracy.
• Problem‑Solving: Strong analytical skills, with a proven track record of identifying and resolving discrepancies efficiently.
• Adaptability: Comfortable working overnight or graveyard shifts in Philippine time, or within U.S. operating hours, as required.

Compensation & Benefits

• Salary Range: PHP 50,000 – 53,000 per month (competitive and commensurate with experience).
• Work Hours: 8:00 AM – 5:00 PM EST (U.S. operating hours) or overnight shifts in Philippine time, as required.
